If we contacted you about Minute Book
Last updated: 17 October 2026
This notice is for people we have contacted, or may contact, to tell them about Minute Book because of their published professional work. It explains what we hold about you, where it came from and how to tell us to stop. Our main privacy notice covers everything else.
Who we are
Minute Book (minute-book.com) is run by Fyllio Ltd, a company registered in England and Wales (company number 16520641). Our registered office is 11 Rockwell Road, Bolton, United Kingdom, BL6 4NT. Fyllio Ltd is the controller of the information described here. We are registered with the Information Commissioner's Office (ICO) under number ZC271050.
For anything about this notice, email privacy@minute-book.com.
What we hold about you
We keep a short record with:
- your name, organisation and role;
- links to your published work that made us think Minute Book would be useful to you, such as an article, report or blog post that uses NHS board papers or coroners' reports, or, if your job is to read or act on those papers for your organisation, the page where your organisation publishes your role;
- a professional contact route you or your organisation have published, such as an email address on your organisation's website or a professional profile.
We do not hold anything about your private life, and we do not guess or buy email addresses.
Where it came from
From your own published work and public professional pages: your bylines, your organisation's website (including its board and leadership pages and the papers it publishes), and professional profiles you have made public.
Why we use it, and our lawful basis
We use it to tell you, once or twice, about Minute Book, a searchable record of NHS board papers and coroners' reports that relates to your published work or your published role. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): telling professionals about a service relevant to their work, using only details they have made public for that work. We have weighed this against your interests and keep a written assessment.
We only email work addresses at organisations (companies, public bodies, universities and similar) without asking first. If you work for yourself or we only have a personal address, we will not send you marketing emails unless you have agreed.
Who we share it with
Nobody. We do not sell or share the record. Our email provider (Resend, in the EU) sends any message on our behalf, as described in the main privacy notice.
How long we keep it
If you don't reply or sign up, we delete the record six months after we made it. If you object, we delete the record and keep only the minimum needed to make sure we never contact you again (see below).
Your right to object
You can tell us to stop at any time, and we will. This right is absolute for direct marketing: we will not ask why.
Use the form below, reply to our message, or email privacy@minute-book.com. We then delete the record we made about you and keep only a suppression entry: your email address in coded form (a SHA-256 hash, which we use only to check before contacting anyone), or, if we contacted you another way, your name and how we contacted you. Without that entry, we could not be sure of never contacting you again.
Your other rights
You also have the right to ask for a copy of what we hold, to have it corrected or deleted, and to restrict how we use it. Email privacy@minute-book.com. We will reply within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first at privacy@minute-book.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk/make-a-complaint, 0303 123 1113).
